Distributors: Still Using Your Gmail, Yahoo, or AOL Email for Work?
It's time to upgrade your email and your brand
I recently analyzed my extensive database of distributor contacts — a database I’ve built over many years in the industry and update regularly. Here’s what I found:
45% use professional email addresses with their name and their company’s domain.
55% use free email accounts — Gmail, Outlook, Yahoo, and yes, even AOL. Many don’t even use their real name, opting for usernames like spinerep7861@gmail.com.
So ask yourself: what looks better to your surgeon customers, purchasing managers, partner companies, and target accounts?
or…
Years ago, when you started carrying that biologics line on the side, a free email made sense. You just needed somewhere for purchase orders to land — ones that didn’t need to flow through the same company you may or may not have signed a non-compete with. A personal Gmail did the trick.
That was ten years ago. Now you’re a full-time independent distributor with a personal brand, a hard-earned reputation, and maybe a small team. That quick, free email solution now signals amateur hour to every inbox it reaches. To prospects scanning their email, your address is a big red flag — or worse, it says nothing at all, sitting silently in their spam folder.
Your distributorship may or may not need a website, but it absolutely needs a domain name. And that domain needs a professional email address with your full name front and center.
Equation for persuasion:
(first name. last name) + (@) + (company name) + (.com) = Professional
YOU + YOUR BRAND = Someone I want to work with
Good news: this is fast, easy, and inexpensive:
Step 1 — Claim your domain name
Search using your LLC name, your own name, or something new. Don’t try to be clever — just be simple and professional.
Step 2 — Set up your business email
There are several solid options:
Google Workspace — Gmail for Business
Zoho Mail — Free for up to 5 users
GoDaddy — Professional Business Email
Pro tip: Go with Microsoft 365. It’s what established companies use, it comes with enterprise-level security, and it runs about $6/month. → Microsoft 365 for Business
Bonus: things you didn’t know you could do with your new professional setup
Use alias addresses to look like a larger operation:
PurchaseOrders@yournamellc.com
CustomerService@yournamellc.com
HR@yournamellc.com
News@yournamellc.com
Use Microsoft OneDrive or Google Drive to store and share important files your team needs in the field.
Build a professional email signature that includes:
Your name in large, bold font
Your company name (and logo, if you have one — try this free logo maker)
A call to action with a trackable link to your website or landing page
Any clinical credentials after your name, if you have them (PA, RN, CST, etc.)
Example:
Should your distributorship have a website or landing page?
Reasons to have one:
It’s a professional tool that introduces your team and communicates what you offer
Most small distributors don’t have one — having one immediately sets you apart
You can track visitors and clicks from your outbound emails
Reasons to skip it (for now):
You carry lines on the side and prefer to keep a low profile with your primary employer
You don’t want competitors knowing which companies you represent
You’re unlikely to keep it updated or don’t feel confident managing it
Not sure you have the time or tech skills? That’s no longer a real barrier. AI tools now make it possible for anyone to spin up a clean, professional site in minutes. Don’t believe it? Try one of these:
Bolt.new— Build Apps & Websites with AI, No Code Required
Lovable — Build Apps & Websites with AI, No Code Required
Here’s an example: I asked Bolt to “create a professional landing page for a medical device distributor team that works with major companies such as Stryker, Aesculap, and Kinamed” — and 60 seconds later, it built this:
So, what are you waiting for?
Every email you send from a free account is a missed opportunity to be taken seriously. 45% of your competitors already figured this out.
Credibility isn’t built overnight — but it starts somewhere. And sometimes, it starts with something as simple as a professional email address.
Get rolling!
